Early Intervention Provider Meeting Wednesday, October 18, 2023 Please remember to let your billing staff know to email both Jenn Hawbecker and Zachary Gantz when there are voids or adjustments with billing. The way billing comes into the County system is a little different than PROMISe. It is a helpful guide for anyone who wants to go through the learning path. It talks about how to get into the learning path, how to go through different areas/courses, etc. The Early Intervention Technical Assistance (EITA) and the Office of Child Development and Early Learning (OCDEL) have provided this as a suggestion for those who want to participate in the learning path. Many providers have taken the EI Service Delivery online course along with the Family Guided Routines Based Intervention (FGRBI) course. If you have providers that have completed these previously and they want to continue on, the EISD and FGRBI courses should already be registered for and acknowledged in the system. They should be able to register for the SS-OO-PP-RR online course. If providers have taken the other two (2) courses and it is not showing in the learning path itself, please let Jenn know and she can connect them with Mike Brink or our EITA Consultant, Liz. Providers must complete the first two (2) courses before they can move into the SS-OO-PP-RR online course. The SS-OO-PP-RR is a four (4) hour online course with a one (1) hour instructor led webinar. The next part of the path is the Family 5Q which is also a four (4) hour online course with a one (1) hour instructor led webinar. Jenn believes there are evening hours and different times throughout the day offered for the instructor led webinars. Once a provider finishes the self-paced module, they will receive information that they can take the live webinar. After the SS-OO-PP-RR and Family 5Q courses are completed there are two (2) applications for FGRBI key indicator webinars. These are two (2) hour webinars each for a total of four (4) Infant/Toddler credit hours to include ASHA, OT, PT or Act 48. Jenn included on her PowerPoint detail of the Infant/Toddler Service Delivery Learning Path components. This document includes information about each course. Jenn sent an email to providers several weeks ago regarding OCDEL being able to provide a stipend of $1,000 to individuals who are endorsed. It is unknown how long the stipend will last or how much money is available for it. If any of your staff Early Intervention Provider Meeting Wednesday, October 18, 2023 want to receive the stipend they may want to start working on the learning path in the near future. Jenn sent a list of questions to EITA Consultant, Liz. Here are the questions and answers o $® ³§¤¸ § µ¤ ³® ²¨¦ ´¯ ¥®± ¨³ ®± £®¤² ³§¤ ²³¨¯¤£ ¦® ³® ¤µ¤±¸®¤ ¶§® ¦¤³² endorsed? It is recommended that participants go to a trio or PLC prior to submitting a full video. o !±¤ ³§¤ ¯ ±³¨¢¨¯ ³²  ¡«¤ ³® ¢§®®²¤ ¶§¤³§¤± ³§¤¸ £®   0,# ®± ³±¨® ®±  ±¤ ³§¤¸ ¯« ¢¤£ ¨ ®¤Ȉ Yes. They will be provided with information on both. EITA is currently developing some resources with that information. If anyone starts to go through the learning path and would like to share information with others or has questions, please let Jenn know. 4± ¢ª¨¦ 3¯±¤ £²§¤¤³ȝ$ ³  Jenn has provided the tracking sheet to all providers. If there are providers starting to go through the learning path, there is an additional tab on the spreadsheet now. The learning path information can be added to the new tab. A Core Leadership Team (CLT) Meeting has not occurred recently but at the next one, the plan is to ask providers for at least this year to submit the tracking sheet half way through the fiscal year then again at the end of the year. This is so the CLT is aware if providers are going through the learning pathway since it is a newer process. Jenn will send an email out at the end of December/early January to submit the tracking sheet. 5¯£ ³¤£ 3¤²²¨® .®³¤² st Providers should be using the new session notes as of October 1! The Infant/Toddler Service Delivery Page includes information on session notes and available resources. https://www.eita-pa.org/it-service-delivery/ Early Intervention Provider Meeting Wednesday, October 18, 2023 above link. The Resources page also includes the session note announcement that was sent out. It includes a PDF version of the session notes if providers want to use it electronically. The PDF document should have been updated to wrap the text in the session note. The boxes do not expand. The session notes are to be notes not necessarily a document/book. OCDEL is trying to get precise information in the boxes. The Resources page provides information on how to order paper session notes if providers are still using them as well as annotated guidance for writing session notes. (The page also includes the old webinar dates and registration but the webinars have passed). Ordering session notes Jenn does not have additional session notes. The ones she received were handed out at the July EI Provider Meeting. Session notes are on back order at the state. They should be available towards the end of October. th The next updated session note chat is coming up on Wednesday, October 25 at 2:00 p.m. Providers can join in and ask questions. Endorsed providers who have been using the new session notes for some time will be participating to help give guidance and suggestions. This is an informal chat where providers talk amongst themselves. If anyone has any questions that Jenn needs to take back to EITA she can do that as well. These chats are to get an understanding of how providers think the session notes are going, any difficulties, questions, etc. To participate - Video call link: https://meet.google.com/ifu-tsyp-edq(US) +1 234-719-3516953 824 052 It will take providers a little time to get used to the session notes. Please encourage staff to do the best they can. It is a learning process for everyone and there will be questions. 0±®µ¨£¤± 2¤¦¨²³±¸ There is no new update to the Provider Registry. We are four (4) months into the new fiscal year. As a reminder, please make sure that training certificates are being entered regularly. If you have staff adding them, please encourage them to do so regularly. Licenses, clearances, Mandated Reporter, and CPR/First Aid must be entered on the Education tab. This will then populate into the report. When entering updated clearances, the dropdown and do not edit the existing information. If you do not add these to the Early Intervention Provider Meeting Wednesday, October 18, 2023 education tab it will not show up when Jenn or OCDEL export the information. If it is not showing then it is not counted. OCDEL is not looking at both areas of submission (education and training); they are only looking at the education tab. If a provider took CPR or Mandated Reporter training during the current fiscal year, it must also be added to the EI Training section to get credit for the hours. If a provider provided direct service for one or more children in a county, they should be added to that county. If you thought someone was going to provide services in a county but did not, make sure to un-assign them from that county. It will go against your program and the County is they are not unassigned. Please make sure to end date as appropriate. If you have someone leave the program, make sure you end date their employment and county assignment. If there is a therapist that leaves one agency and goes to another and their employment and county assignment is end dated it will not totally take them out of the system. It just end dates the old employment and adds them to the new employment when entered. Do not enter your name for two (2) different roles. If you are an administrator but also provide services do not have yourself in there twice. A question was asked about providers who have taken the guidance on early intervention r credit hours. Some providers have been entering it on their log but a provider was under the impression that it does not count towards the 24 training hours. Jenn noted that she does count this as long as issued, the provider needs to fill out the training verification form and submit it to be counted. % ±«¸ )³¤±µ¤³¨® !®´¢¤¬¤³² Jenn forwarded EI-23 #03 Reportable Incidents for Mandated Reporters announcement as well as reportable forms to providers a few weeks ago. This announcement has not been updated on the EI Announcements page yet. If you need a copy, please let Jenn know. Jenn will be updating the county procedure statement to reflect the changes. This is also something that needs updated match the information in the announcement. &± ª«¨ȝ&´«³® 6¤±¨¥¨¢ ³¨® This year Franklin/Fulton EI is due for OCDEL verification. The onsite visit process occurs rdth every four (4) years. Franklin/F 25. Early Intervention Provider Meeting Wednesday, October 18, 2023 notes), at risk tracking, Infant/Toddler/Families waiver, ineligibility for EI, no longer meeting eligibility, and transition. There will be home visits/interviews but the providers who will be selected are not known at this time. OCDEL looks at initial and annual evaluations and talks with families. They review policies but mainly onl provider policies and procedures but if anything is needed she will reach out. The pre-verification meeting has not been scheduled yet but should be in the very near future.
