Beth Mellott will type and email minute to providers. Lisa would like to see more participation at meetings from Nancy, the interpreter, Capital Area Intermediate, LICC and the LIU. Tuscarora only works with the transition children and should be able to attend a little more often. Choices for Children are a new provider that is stationed out of Pittsburgh. They are a provider that will do speech and auditory tests in home in Fulton County. In Franklin County they will do hearing tests. Their services may start within 3 to 4 weeks. ISP Service Page: When family agrees to once a week for services, then the therapists must be there once a week. If there is a missed appointment then it can only be made up the next week if the family requests it. Otherwise the therapist cannot visit the home twice a week. Duration must be whatever time is on the IFSP service page. Must not bill for more. If more or less time is needed then another IFSP meeting should be held to discuss that change with the family and SC. Therapists Availability: Lori Loughry – Franklin County only. Barb MacDonald – Fulton County only. (CEI) Kathy, Laurie and Jill- Franklin County only.(speech) Therapist should not keep 3 year olds on their schedule if they don’t have enough time to see the under 3 year old children. County gave the LIU a list of transitioning children. CEI should not give names out to the IU’s. Holly and Trish will be going to monthly meetings at Harrisburg, and will try to have transition meetings every 3 months. State Monitoring: IU’s need to become more involved in transitioning. Therapist should be at the transition meeting with family. New Vision Service – Orientation and Mobility Vision Intenerate will be listed on the service page of the IFSP as VISION. DT does everything other therapists don’t do for MDE testing. Therapists must follow current procedures. ECAP: Make sure the information on the ECAP is correct when submitting to the county, things such as the initial appointment date. Service Coordinator will do the demographic part of the form for EXIT and ENTRY. Will receive both forms from the SC’s when initial information packets are sent over to agency. Have the Entry ECAP forms back to Holly within 45 days. The Exit ECAP should be to rd Holly 3 weeks prior to child’s 3 birthday. 2 ECAPS, 1 for entry and 1 for exit one therapist. should be filled out by only If co-treating a child it must be on the intervention plan. Third Party Insurance Verification Provider is no longer required to do anything, the Service Coordinator will look up and see if it is going to pay or not. This will then be forwarded to the provider and should be with the initial paperwork. The policy number, policy holder and group number should be with the initial paperwork also. This is to know whether MA should be billed or not. There will be no more paper authorizations. Holly is now responsible for un-encumbering and encumbering funds set up for th prior month’s usage. Providers must have billing in by the 15 of the month. Provider has the ability t o check authorizations prior to billing. There will be a new auth number for each service each month. The county is in the process of purchasing a new software program. Provider will be billing through this new software instead of Xi-tech, and MA billing will be done on the PROMISe website. No dates for sure when this will be implemented. Contracts and Budge sheets for rates are now due. UCP’s rate sheets have been received. DT rate is over the maximum allowed due on the fee schedule. 4 Boilerplates and 4 AE agreements will be sent to the providers once their rate sheets are finalized. All 4 need to be signed and returned to the county ASAP. Monitoring has been done for CEI and UCP. LIU and Capital Area will be scheduled soon. Trish will get tentative dates for development of the EITA plan to the providers and LICC ASAP. Will need input for next years training plan. Results of OCD-EL Compliance Monitoring: We need to get better at the 14 day st deadline. This is due after the 1 visit is done. If 2 therapists are scheduled then both of them must be there or it doesn’t count. We, the county, only made 25% and the State wants to see 100%). Family should be the reason if the deadline is not met. It should not be because of the County program. Therapists should note why this deadline wasn’t met. We also need to get better at documenting and making transition meetings more detailed, client specific. County wide Therapist Progress Notes: Trish will follow-up. It is the County’s choice whether this should be used or not. OT-PT-Speech: No script is needed. A Dr.’s letter is significant for the child to receive services. Maternity Leave: CEI- 1 therapist will be off for one year. County would like to know dates the therapists will be out on leave and if any other therapists will be available. Service Coordinators will offer other services to families. Services can be put on hold by family but a form should be filled out. Next meeting date and time is July 11, 2008 @ 1:00 PM in the Administration Annex Building.
