Developmental Disabilities Program Providers Meeting
November 12, 2010
Introductions:
Everyone introduced them selves and their agency affiliation.
Beth Palmatier – Mental Health Association
IM4Q (Individual Monitoring for Quality)
Beth explained that IM4Q is working with individuals in their programs to see what they
would like to do to make their lives more enjoyable. They try to do what the individuals
would like. They try to talk with everyone the individual has taking care of them. If the
individual is able to speak for themselves they just have a meeting with that individual for
confidentiality. If the individual needs some help they will meet with all the staff that cares
for that individual. Supports Coordinators can help by filling out a survey for the individual
to let providers know about special considerations such as a wheelchair or other
accommodations that the individual may need. IM4Q will go to meet with the individual
anytime that is convenient for that individual. IM4Q is working on a breakdown of counties
survey to see what is needed in any particular county.
NCI Survey
This is an extensive survey that IM4Q uses to access information from an individual to see if
they are happy with their home plan or activities that they utilize. A caregiver or a Supports
Coordinator can ask the individual these questions and write their response on the survey.
Individual Plans in HCSIS
Some of the providers are not able to access considerations in HCSIS because it takes several
weeks for changes to appear. Beth will work on having the Providers be able to access
current individual plans if not in HCSIS then by another means. It is important that providers
be able to read the most current information provided on an individual.
Ed Franchi:
Cost Settlement
Ed could not attend the meeting today. Linda Hess spoke for him and said that he is working
on cost settlement and if he has a question about any of the providers he will contact them. If
you don’t hear from him everything is alright.
Marion Rowe:
Annual Medical Evaluation
Marion reviewed that Annual Physical Examination Forms must include ICF/MR level of
care certification. Providers can use the county’s current physical form or the standard MA-
51 Medical Evaluation if they do not currently have a standard physical form that includes
the certification. If providers are not receiving copies of the level of care re-determinations,
let Jane or Marion know. They are maintained at this office and Supports Coordinators are
forwarded a copy to mail to providers.
Provider Incident Management Process Management
There is a pamphlet in the provider packet today for tips and tricks for managing pending
incidents in HCSIS as the Provider Incident Manager. This should be very helpful to
providers. Provider Incident semi-annual analysis is due on December 14, 2010.
Bed Bug Training & HCQU Trainings: 2011
there is a pamphlet in today’s provider packet for Health Care Quality Unit Educational
Programs that Providers and staff can access. Providers should review and provide training
suggestions for 2011. An additional training on Bed Bug prevention is scheduled for
November 16, 2010 at the Admin Annex at 11:00. There is training on Caring for
individuals who are non-ambulatory coming up on December 10, 2010.
Service Authorization
Please check to make sure a service is authorized by Marion or Jane before starting services
for an individual. If no service authorization then check with the Supports Coordinator. We
have been working to have the approvals and authorizations done at least a week before the
service start date.

Provider Monitoring Schedule
In today’s Provider Packet there is a 2010/2011 Schedule for Provider Monitoring for
Providers in Franklin County:
ARC – December
OSI – December
Comfort Keeper – January
Family Care – March
Menno Haven – June
You can match with provider qualifications. If the Provider doesn’t have the monitoring
tool, we will forward to you.
ISP’s
Jane
explained that there are new regulations and new guidelines for the Individual Service Plan’s
for next year. Jane will have someone from the state come down to talk to Providers at a
later time. They would like to see what providers want from the Support Coordinators. The
meeting will be held 60 – 90 days prior to the new guidelines become effective. Providers
will be responsible for reviewing the approved ISP’s and any changes need to email to SC’s.
If the changes are not completed in a timely manner then providers need to contact
supervisors.
